VoiceboxMD Cancellation and Refund Policy

Important:
It is your responsibility as the subscriber to request cancellation via voiceboxmd.com/cancel at least 24 hours before your new billing cycle begins.
VoiceboxMD does not issue refunds. Service begins as soon as you press the “Start Free Trial” button or when your initial payment is processed. Your subscription will continue without a notice of renewal until you cancel.
Overview
VoiceboxMD operates on a recurring subscription basis. By purchasing a subscription or starting a free trial, you agree to the terms outlined below.
Automatic Renewal
To ensure uninterrupted access to your medical dictation services, all VoiceboxMD subscriptions (including monthly and annual plans) are set to automatically renew at the end of the billing cycle.
- Renewal Charge: Your payment method on file will be charged the standard rate in effect at the time of renewal.
- Notification: While VoiceboxMD makes reasonable efforts to notify users of upcoming annual renewals, it is the subscriber’s responsibility to manage their subscription settings and billing cycle dates.
Cancellation Policy
You may cancel your subscription at any time to prevent future charges.
- How to Cancel: Cancellations must be submitted via the user dashboard at voiceboxmd.com/cancel.
- Deadline: To avoid being charged for the next billing cycle, you must request cancellation at least 24 hours prior to your renewal date.
- Access After Cancellation: If you cancel midway through a billing cycle, your subscription will not renew. However, you will retain full access to VoiceboxMD features until the end of your current paid term.
Refund Policy
VoiceboxMD adheres to a strict no-refund policy.
- All Purchases Final: Plan purchases are non-refundable. The plan you select is yours for the length of the subscription term.
- No Prorated Refunds: We do not offer prorated refunds for cancellations made midway through a month or year. For example, if you cancel a yearly subscription after three months, you will not be refunded for the remaining nine months, but you will retain access for the duration of that year.
- Unused Services: We do not offer refunds for “unused” time if you choose not to use the software while your subscription is active.
Free Trial Policy
If you register for a Free Trial, the following terms apply:
- Cancellation Requirement: You must cancel at least 24 hours before the end of the trial period to avoid being charged.
- Automatic Conversion: If you do not cancel before the trial expires, the system will automatically convert your trial into a paid subscription, and your payment method will be charged.
- Post-Conversion: Once a trial converts to a paid subscription, the payment is non-refundable.
Upgrades and Plan Changes
You may upgrade your plan at any time via your account settings.
- Immediate Effect: Upgrades take effect immediately.
- Proration: Your credit card will be charged a prorated amount for the difference in cost between the two plans for the remainder of the cycle.
- Legacy Pricing: If you are on a “grandfathered” or legacy price plan, you may maintain that rate as long as your subscription remains active. If you cancel or your account lapses due to payment failure, you must re-subscribe at current market rates.
Payment Failures & Grace Period
If an automatic renewal payment fails:
- Grace Period: A seven (7) day grace period will be applied to your account. You will retain access during this time to update your payment information.
- Suspension: If payment is not secured by the end of the grace period, your access will be suspended immediately.
