The Question Therapists Ask First

A recording of a therapy hour is about as sensitive as records get, so here is the answer before anything else: we keep it for hours, not years, and it is never used to build anything.

  • Recordings are deleted within 24 hours

Every recording is given a deletion deadline when it is made, and a scheduled job removes it. The note is what lasts, not a recording of your client.

  • Nothing you say trains an AI model

Audio and transcripts are never used to train models, by us or by anyone downstream. This is contractual, not a setting you have to find.

  • A signed BAA on every plan

Included at no extra cost, including during the free trial. Encryption in transit and at rest, and access scoped to you.

Why Private Practices Use It

  • Made for long narrative notes

A therapy note is paragraphs, not checkboxes. Speak the session the way you would tell a colleague about it, and the words appear in the box. Punctuation, new paragraphs, and numbered lists all work by voice.

  • Nothing to set up in SimplePractice

SimplePractice runs in your browser. VoiceboxMD types wherever your cursor is, so there is no plugin, no permission, and nothing to reconnect after an update.

  • The words you actually use

Add the medications, assessment names, and referral sources you say often and recognition gets them right. Save the phrasings you repeat, like a standard risk assessment or a telehealth consent line, and say a short trigger to place the whole block.

  • It follows you out of the note

The superbill note, the message to a client, the letter to a psychiatrist, the insurance form on another site. Anywhere you type, you can talk.

  • Let it draft the note for you

Dictate a two-sentence summary after the session and the AI structures it, or let the ambient scribe listen and draft it. You read and edit before anything is saved. On every plan.

  • One price, no per-note charge

$49 per clinician per month to start, whether you see four clients a week or forty. No minimum, no annual contract.

Between One Client and the Next

Open SimplePractice the way you always do and click into the progress note. Press your hotkey, say what happened in the session, and the words appear as you speak. Stop when you are done and the note is sitting there, in SimplePractice, ready for you to read and sign.

If you would rather not narrate at all, let the ambient scribe listen to the session and draft the note for you. Either way nothing about your SimplePractice workflow changes, because to SimplePractice this looks exactly like typing.

Try it on one note. Install it, dictate your next progress note, and see whether it sounds like you wrote it.

SimplePractice Dictation, Frequently Asked Questions

Does VoiceboxMD work with SimplePractice?

Yes, on Mac and Windows. SimplePractice runs in your browser, and VoiceboxMD types into whatever box your cursor is in, so progress notes, treatment plans, assessments, and client messages all work. There is nothing to install inside SimplePractice.

What happens to the recording of a session?

It is deleted within 24 hours, automatically. Each recording gets a deletion deadline the moment it is made and a scheduled job removes it, with the deletion written to an audit trail. The durable thing is your note, not a recording of your client. Nothing you record is ever used to train AI models.

Can it write the note instead of me dictating it?

Yes. Either dictate a short summary after the session and let the AI structure it into your note format, or let the ambient scribe listen to the session and draft the note. Either way you review and edit before it goes anywhere, and both are included on every plan.

I am a solo practitioner. Is this too much software?

It is one app you install on your own computer, and you can be dictating in about three minutes. There is no server, no admin, and nobody to ask. Most of our solo clinicians set it up between clients.

Does it know behavioural health terms?

Yes. The vocabulary covers psychiatric medications, assessment instruments, diagnoses and ICD-10 codes alongside general medical language, and you can add your own terms in a minute. New practices that pick a specialty also get a starter list seeded automatically.

What does it cost?

Essential is $49 per clinician per month and includes dictation and the ambient AI scribe. Power is $79 and adds billing codes and the letters and summaries around a session. Every plan includes a 7-day free trial and the BAA, with no setup fee and no annual contract.
